Management Assistant (MH)

This position will serve as a Management Assistant to the Associate Chief of Staff (ACOS)for Mental Health and the Mental Health Administrative Officer. The Mental Health Product Line is a complex service consisting of multiple types of mental health activities, including contract inpatient services, outpatient services, clinical, training and research functions at multiple sites. The administrative responsibilities of this position include managing and reviewing financial, personnel, and equipment resources. The following specific duties are expected:
Manages the Peer Review process in Psychiatry and Psychology Service. This entails developing managing a distribution schedule, tracking system for Peer Reviews and addressing the fallouts. For those providers who are not timely in completion of the reviews incumbent presents alternative action plans for addressing corrective action with the service chief and the product line health systems specialist. Develops, analyzes, and contributes information for the respective disciplines and programs in support of the Mental Health Product Line dashboard/scorecard. Manages the administrative data for annual provider performance reviews and six-part folders. Incumbent develops information related to periodic performance reviews using multiple electronic data sources, evaluates the information and provides continuous improvement recommendations for mental health leadership consideration. Incumbent works independently with Information Technology Service to develop tools for enhancing data sources. Tracks and manages data for the annual evaluation of psychiatry service staff members. Incumbent develops data related to annual evaluations, running reports in ACRP (VISTA), KLF (national resource) and is an originating source of information/data not available in existing resources. Incumbent organizes and interprets the information and makes recommendations to the Administrative Officer for the ACOS for Mental Health for continuous improvement or systems redesign. Develops and manages a tracking system program for all official incoming and outgoing correspondence in support of the ACOS for Mental Health and the Administrative Officer. Serves as the product line Automated Data Processing Applications Coordinator performing the full range of technical duties required. As ADPAC coordinator interacts with other service user personnel, Site Manager, application Coordinators from other VAMCs and Regional personnel. Incumbent will be responsible to train alternate ADPACs and as a continuous resource/trainer for advancing system process changes to alternates in remote CBOC locations. Works independently and as a team leader to organize office procedures, by identifying required resources, and needs that will meet the goals and objectives of the organization, (i.e. monitors policies, procedures and regulations ensuring that appropriate professionals are alerted and updates submitted in a timely fashion). Distributes appropriate support tasks to other administrative personnel. Represents the product line in the tracking/coordination of credentialing processes for new staff members and renewals of existing staff member credentialing.Compiles, analyzes, and interprets information in support of the product line business plans. Incumbent tracks equipment, the standard rate of equipment attrition, and makes recommendation during the business planning process for relative replacement needs. Provides technical training and orientation of clerical staff for multiple services. Independently identifies, evaluates and reconciles information technology issues to include but not limited to use of CPRS and VISTA Imaging and hardware issues. Coordinates CPRS and VISTA training for new staff, residents; interns and students. Incumbent manages the product line internal mentorship program, independently identifying providers who have the best practice technical skills to mentor for new and existing providers. Manages reports in support of and alerts staff members of recurring and new training requirements. Tracks new training requirements/opportunities and ensures compliance within the product line. The incumbent is the liaison between Education Services and staff members in the product line, training staff members with respect to appropriate procedures, ensuring that education requirements are addressed by staff members and reporting compliance issues to mental health leadership. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Experience working in an administrative capacity within a patient care area, experience working with computers, including understanding a wide variety of databases, programs, tele/virtual communication platforms, etc., providing outstanding customer service including to internal and external customers, and ability to multi-task and prioritize while remaining detail-oriented and true to the departments mission. Physical Requirements:
The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
